Implementation Plan for Undergraduate Freshmen Welcoming Work in 2023

In order to ensure the smooth progress of the 2023 welcoming work, and to create an enthusiastic, warm, and harmonious welcoming atmosphere, allowing new students to genuinely feel the care and warmth of the school, we have formulated the following plan based on the "Notice Regarding the Welcoming and Opening Ceremony for the 2023 Grade of Southwest Jiaotong University," and taking into consideration the specific circumstances of our school:

I. Organizational Leadership

The School of Physical Science and Technology has established a leadership group for the 2023 welcoming work, with the following specific members:

Group Leader: Liu Yu, Jia Huanyu

Deputy Group Leaders: Guo Jian, Wei Zhenxing

Members: Chen Xi, Feng Yuan, Yong Teng, Yang Haojian, Li Ruotong, Ge Tiantian, Wang Na, He Diya

The leadership group has set up two working groups responsible for organizing and implementing the welcoming work.

II. Welcoming Arrangements

(I) Registration

Registration Dates: August 31 (Thursday) and September 1 (Friday), from 8:00 AM to 10:00 PM.

Registration Location: Xipu Campus West Gate, Yanghua Avenue (between the South Campus dormitories and the sports field).

(II) Opening Ceremony

The university's opening ceremony will be held on September 2 (Saturday) at 8:00 AM.

(III) Health Check-up

Health Check-up Dates: August 31 to September 10 (except Sundays).

Health Check-up Location: Xipu Campus University Hospital.

III. Job Responsibilities

(I) Publicity and Liaison Group

Main Coordinators: Yong Teng, Yang Haojian, Li Ruotong

Members: News Center, Student Assistants, Peer Mentors

Job Responsibilities:

Draft the school's welcoming plan and work schedule.

Manage the school's new student welcoming group, provide new students with guidance for online pre-registration during the summer break.

Handle pre-admission publicity and notification of financial assistance information, raise awareness about safety and fraud prevention among new students, and raise awareness about risks related to "campus loans," "pyramid schemes," "hometown associations," "forced consumption at barbershops," and other dangerous factors.

Handle publicity work during new students' registration.

(II) Registration Service Group

Main Coordinators: Yang Haojian, Li Ruotong

Members: Ge Tiantian, Wang Na, He Diya, Student Union, Youth League, News Center, Student Assistants

Job Responsibilities:

Coordinate with relevant departments of the university, collect and prepare various materials required for new student registration (student ID cards, campus cards, new student dormitory keys, and school culture shirts).

Create a rotating schedule for on-site volunteers and on-site student organizations for different time slots. Manage on-site personnel, make arrangements for on-site staff, and provide logistical support.

Manage on-site materials and oversee the welcoming stations on the day of new student registration and other specific tasks.

Equip the school's welcoming station with a first-aid kit and necessary medicines. In the event of emergencies, coordinate with medical personnel and provide on-site assistance.

Deal with physical discomfort among new students, such as heatstroke and gastrointestinal issues during welcoming or military training, and address psychological issues, such as homesickness, loneliness, anxiety, and thoughts of withdrawal from school. In case a new student feels unwell, report to the school's welcoming work leadership group promptly, and, based on the situation, contact emergency services (e.g., 120) or the university's medical office for the required response.

After new students complete military training, organize visits to the university's history museum, campus tours, and other activities to introduce the campus environment.
